Ceremonies at Highfields House
From 19 July 2021 the majority of Covid-19 restrictions have been lifted nationally.
However, there is government guidance in place for venues, including those that host weddings and civil partnerships, to follow which includes the following:
Face coverings Whilst there is no longer a legal requirement to wear a face covering Government guidance sets out behaviours which are beneficial in managing the risk of infection. This includes wearing a face covering where you come into contact with people you don’t normally meet in enclosed and crowded spaces. As a ceremony will result in many people being in one area we would request that all guests should wear face coverings whilst in the building where you can.
Test and Trace The Government expects the Test, Trace and Isolate system will remain necessary through the autumn and winter and a proportionate system should be in place. We will therefore issue all couples with a template to add in names and contact numbers for all guests attending a ceremony at Highfields House and would ask that this is provided at least 7 days in advance of the ceremony.
This information will be kept for 21 days and then destroyed.
Keeping everyone safe You may also choose to take a free test before being in close contact to help manage periods of risk. These are personal choices which can help reduce your risk of catching or spreading.
If someone has been instructed by NHS Test and Trace to self-isolate because they have tested positive for COVID-19, or they’re the close contact of someone who has tested positive for COVID-19, they must self-isolate and not attend a ceremony.
Anyone with symptoms of COVID-19, even if they’re mild, should not attend. This includes the couple, attendees, anyone working or involved in the ceremony or reception. They should self-isolate immediately and get a PCR test.
The Government have announced further changes from 16 August 2021. From this date the intention is that there will be no requirement to self-isolate if you have received two doses of the vaccination and have come into contact with someone who has tested positive for COVID-19.
The Government also intends to exempt under 18s who are close contacts of a positive case from the requirement to self-isolate, in line with the approach for those who are fully vaccinated.
Guest numbers at wedding and civil partnership ceremonies
From 19 July 2021 our ceremony numbers will be:
All numbers stated are the maximum number of guests that can be accommodated in each room.
The Sandwell Suite – 65 Guests including the couple and one photographer
The Highfields Room – 14 Guests including the couple and one photographer
The Sandwell Register Office – Couple and witnesses only

The Sandwell Suite and the Highfields Room have recently been refurbished and both rooms overlook our beautiful gardens and have the benefit of sash windows. Photographs can be taken in the gardens both before and after your ceremony.
For any booking in the Sandwell Suite we are currently offering all couples a complimentary webcast of your ceremony until 19 October 2021. This can be shared with any family and friends who may not be able to attend. A copy of this can also be purchased for £39.
We provide music in the Highfields Room and Sandwell Suite and have recently purchased a new sound system which adds to the overall ambience of the ceremony.
In the Sandwell Suite couples can also choose to show their special moments in photographs on a screen for the guests to see. These will be played to guests as they arrive and await the entrance of the couple. The photographs can appear as a slide show or can be one photograph which will remain static on the screen. The cost for a single photograph is £20 and for up to 50 photographs is £75.

We want to ensure that all couples holding a ceremony at Highfields House have a wonderful event and we will work with you to ensure that your ceremony holds lasting memories of the day and is just as you wanted it to be.

The Highfields Room:
- Monday to Thursday - £124
- Friday and Saturday morning - £169
The Register Office Room:
- Monday to Thursday - £57
The Sandwell Suite:
- Monday to Thursday - £335
- Fridays and Saturdays - £463
- Sundays and Bank Holidays - £537
The ceremony - pre-ceremony interview
We will ask the couple to arrive 15 minutes in advance of the ceremony time to complete the pre-ceremony interview. Once this is completed all guests will be invited into the ceremony room and once seated will start your ceremony.
The registrars will have discussed the ceremony format with you prior to the date of the ceremony. They will therefore wait in the ceremony room for your arrival and that of your guests.
We will ask your guests to wait outside and have marked out social distance markings. Before guests are invited into the building we have some simple screening questions that we will ask all guests to confirm if they have any symptoms of the Coronavirus.

All couples getting married at the Register Office, and at all venues other than a Church of England church, must give Notice of Marriage.
Booking your ceremony
If you have a date in mind for holding your wedding or civil partnership, you can book with us up to two years in advance.
A provisional booking fee of £61 is payable to save the date when you book your ceremony. This is a separate fee and does not form part of a deposit, please note it is non-refundable.
How to pay
For the Register Office ceremony room or for The Highfields Room, the hire fee is payable either at your notice appointment (if given at Sandwell Register Office) or the day after you give notice (if given at any other Register Office).
For the Sandwell Suite, the room hire fee must be paid at three months before your ceremony.
Payments can be made by card or cheque. (Cash payments can also be taken if required but we would appreciate card payment where possible)
Please note, once fees have been paid in full, if you wish to cancel your ceremony without re-booking we will only refund 50% of the room hire cost.
If you cancel within three weeks of the ceremony date then no refund will be payable.
If you need to change the date of your wedding once it is booked, there will be a £40 charge. (This charge will not be applied if changes are due to COVID)

Frequently asked questions
Q1: What if someone with Covid-19 symptoms attends the Register Office/Approved Venue? Can we ask them to leave?
A: Yes anyone with Covid-19 symptoms should stay at home and following guidance on isolation. If it is one of the parties to the marriage or civil partnership a new date can be rearranged over the phone. If it is one, or both, of the witnesses the couple will be required to provide new witnesses. It is acceptable for a member staff to volunteer to be witnesses in this circumstance.
Q2: Can I have my ceremony outside in the grounds of the Register Office or Approved Venues ?
A: Approved venues are now permitted to be hold ceremonies outside subject to certain criteria. There are currently no plans to hold outside ceremonies at Highfields House and we are consulting with our approved venues to establish if they intend to offer this service. If this is something you may be interested in then please speak to the venue in the first instance.
Q3: Are babies included in the numbers? Are babies allowed to attend?
A: Yes, babies are included in the overall numbers and a parent/guardian or member of the household must hold the infant.
